Sarah sells handmade ceramics online. Her business is steady — enough to live on, not enough to justify a full-time bookkeeper. So Sarah does the books herself. Well, "does" is generous. What actually happens is that receipts accumulate in a shoebox (a literal shoebox, under her desk), invoices pile up in her Gmail, and once a month she clears an entire weekend to turn the chaos into something her accountant can file.
The process was grim. She'd sit down on a Saturday morning with coffee, the shoebox, and her laptop. Open the inbox. Find every invoice email — supplier invoices as PDFs, Amazon receipts in the email body, the occasional photographed thermal receipt from a craft fair purchase. Manually type each one into a spreadsheet: date, vendor, amount, category. Save each attachment to a folder with a name like "invoice_march_final_v2.pdf." Hope she hadn't missed anything. Hope the categories were right. Hope the accountant wouldn't email back with three pages of questions.
The accountant always emailed back with questions. Because Sarah wasn't an accountant — she was a ceramicist who happened to run a business. She mis-categorised things. She forgot to log cash purchases. She mixed up suppliers. Every quarter, the accountant would send a list of corrections, Sarah would spend another afternoon fixing them, and the whole cycle would repeat. What changed
We set up Ledger Lens to monitor Sarah's dedicated receipts@ inbox. Now, whenever a supplier sends an invoice or Sarah forwards a receipt photo, the system processes it immediately. It extracts the date, vendor, amount, currency, and expense category using AI that's been trained to read financial documents — not just PDFs, but photos of crumpled receipts and email bodies with no attachment at all.
Every transaction is automatically appended to her Google Sheets master ledger with a clickable link to the archived document in Google Drive. The files are renamed consistently — date, vendor, amount — so she can find anything in seconds. If an invoice arrives as HTML in an email body (like an Amazon or Uber receipt), the system generates a clean PDF and files it alongside everything else.
Sarah no longer has a shoebox. She no longer has a month-end scramble. Her accountant now gets a live, accurate ledger — not a Saturday afternoon reconstruction of whatever Sarah could remember. The accountant stopped sending correction emails.
