CASE STUDY

How David Stopped Starting His Day an Hour Late

He ran a 12-seat contact centre. Every morning he spent 60 minutes building yesterday's reports while his team made today's decisions blind.

David is the operations manager at a mid-sized contact centre in Leeds. Twelve agents. Three shifts. Inbound sales and customer service. Their phone platform is Connex-One, and like most Connex-One users, the reporting lives in email attachments — CSV files for campaign summaries, agent metrics, phone number stats, and abandoned call logs.

Every morning, David would arrive at 7:30. His first 60 minutes were identical: open the reporting inbox, download three or four CSV attachments from overnight, manually copy the data into a Google Sheet he'd built over a year, fix the inevitable formatting errors, and produce a dashboard he could share with his team leads at the 9:00 stand-up. He was essentially a highly-paid data entry clerk for the first hour of every day.

The real problem wasn't the wasted hour. It was what happenedduringthat hour. The morning shift started at 8:00. By 8:30, the queue was already building. Team leads were making staffing decisions — who takes calls, who handles chat, who goes on break — based purely on feel. The data that would tell them where the pressure points were sat in David's inbox, unread. By the time he finished the dashboard at 9:00, the busiest 90 minutes of the day were already over. The decisions had been made. Some of them were wrong.

The abandoned calls report was the worst of it. It arrived once a day, listing every customer who hung up before reaching an agent. David's team was supposed to call them back — it was a major source of outbound leads — but the report was always eight hours old by the time anyone saw it. By then, half those customers had already called a competitor.

What changed

The Connex-One Data Bridge now monitors the reporting inbox every 60 seconds. The moment a CSV lands — campaign summary, agent stats, phone numbers, abandoned calls — it extracts the data, maps every field to the correct cell in David's Google Sheets dashboard, and marks the email as read. The abandoned calls report gets priority: every number is immediately pushed to a follow-up sheet with a timestamp, ready for outbound rescue.

David walks in at 8:30 now. Not 7:30. He opens one Google Sheet. The dashboard is already updated. His team leads have already seen it — they open the same sheet at 8:00. The 9:00 stand-up is now a discussion about what to do with the data, not a reveal of what the data says. The abandoned calls list is already being worked by the time he sits down.

“I used to be the bottleneck. Every decision waited on me finishing the dashboard. Now the data is just… there. My team leads make better calls before I even arrive, and I get to spend my morning actually managing instead of copy-pasting.”
